Communications & Outreach Coordinator | Headlands Center for the Arts (Sausalito, CA)

TITLE: Communications & Outreach Coordinator
DEPARTMENT: Communications
REPORTS TO: Director of Communications & Outreach
STATUS: Full-time/Non-Exempt
SCHEDULE: Monday-Friday, 40hrs/week, some evening and weekend hours required.

The Communications & Outreach Coordinator works under the supervision of the Director of Communications & Outreach and in collaboration with Headlands staff to support marketing, communications, and audience engagement for Headlands Center for the Arts. This position is an opportunity for candidates interested in working in a dynamic, creative environment. The right candidate will have a significant impact on the external relations of a leading, mid-sized multidisciplinary organization in the contemporary arts field.

QUALIFICATIONS:
• The ideal candidate is a both detail-oriented and a creative thinker. They have an ear for language and an eye for visual design. They are highly organized, results-driven, and enjoy a fast-paced environment—and they never miss a deadline.
• 1-2 years experience in marketing/communications, social media, and website maintenance preferred.
• Mastery of Microsoft Office (or an equivalent) is required; proficiency in Filemaker Pro (or similar database system), Adobe InDesign, Adobe Photoshop, Wordpress, MailChimp, Survey Monkey, and Asana (or other task-management system) is strongly preferred.
• Interest in and familiarity with contemporary art is a plus.
• Excellent interpersonal communications skills and a team-player attitude.
• Due to our Marin Headlands location, reliable vehicle access is required.

RESPONSIBILITIES include but are not limited to:

Marketing & Communications
• Assist with the execution and distribution of Headlandsʼ marketing and communications materials, including printed materials, e-communications, website, and social media.
• Produce email marketing pieces for Headlands audiences.
• Coordinate Headlands’ social media content and channels, including Facebook, Instagram, and Twitter. Develop original social media content including day-in-the-life, event promotions, calls for applications, alumni news, etc. Actively participate in planning to engage and build Headlands social media audiences. Proactively engage with peer organizations and followers.
• Maintain and implement content updates for www.headlands.org
• Working within Headlands brand guidelines, create, prepare, and edit images and graphics for use in emails, presentations, website, and social media.
• Copy writing as needed.
• Proofread all public-facing written materials, such as brochures, press releases, social media posts, invitations, web content, and event signage.
• Assist with photographic and audio documentation needed for press, program archives, and publications.
• Coordinate distribution of posters, mailings, and other materials.
• Develop and distribute event surveys, run survey stations at free events. Enter survey data, track findings and trends.
• List programs and events with calendar services and individual targets.
• Collect and maintain marketing and communications data.
• Work with designer and operations manager to produce outdoor campus signage and informational materials, and update as needed.

Media Relations
• Assist with PR/media relations efforts, including occasional copy writing.
• Obtain necessary image-use permissions for external requests for publication.
• Coordinate press and media materials, contact lists, and online press room.
• Track metrics relating to press visibility and audience engagement measures.
• Respond to requests for information and images, public listings, and printed directories, and coordinate interviews for working members of the press and Headlands’ staff and artists, as appropriate.

Administrative functions and other projects
• Maintain communications contacts, mailing lists, and event attendance in the Headlands. database and MailChimp. Update database and pull lists as needed.
• Maintain department files and communications collateral archive.
• Produce printed materials and electronic presentations for meetings and events as needed.
• Provide other administrative support for the communications department as assigned.

Physical requirements
• Employee needs to be able to sit for extended periods of time.
• Employee must be able to assist with events, which includes occasional lifting and moving of AV equipment and furniture.
• Due to the location of our campus, employees must drive and have a vehicle.

Compensation and Office Culture
• Fast-paced convivial work environment; shared office setting in beautiful natural setting.
• Dynamic creative community and direct access to working artists; access to local and organic food program.
• Like all of Headlands staff, this position serves as an ambassador for the organization and may be asked to engage directly with the visiting public.
• 11 paid holidays annually.
• Three weeks paid time off per year, increases to four weeks at year 2.
• Employee medical/dental benefits paid 100% by employer, effective after one full month of employment.
• Flex spending account (Health savings account), Life insurance, and 401K plan (employee contribution only) available upon hire.
• Headlands supports ongoing employee professional development and funds these activities whenever possible.
• Salary range: $40K-45K, negotiated based on experience.
