Office Manager | Tulsa Artist Fellowship (Tulsa, OK)

Background

Established under the auspices of the Tulsa Community Foundation (TCF) by the George Kaiser Family Foundation (GKFF) in 2015, the Tulsa Artist Fellowship (TAF) enhances the local art scene by recruiting and retaining both visual and literary artists to Tulsa. Tulsa Artist Fellows inspire the community by sharing their unique artistic perspectives and inject creative culture into Tulsa's thriving art scene.

Tulsa Artist Fellowship (TAF) provides unrestricted annual stipends of $20,000, free housing, and studio workspace in the thriving Tulsa Arts District. By providing support, artists receive the financial stability and resources they need to pursue their craft. While recruitment is focused on artists residing outside of the Tulsa metropolitan area, local artists are considered for the program based on exceptional merit and promise. In addition, the program reserves fellowship positions for Native American, Alaskan Native, and Native Hawaiian artists.

The Tulsa Artist Fellowship currently has a growing full time staff of four, 41 fellows, and an annual operating budget of approximately $2.3 million. 

Job Purpose

Tulsa Artist Fellowship is seeking an Office Manager to facilitate key administrative functions for a thriving arts residency program. 

Essential Functions:

  • On-site staffing Monday-Friday, 9am-5pm; occasional evening and weekend hours for events/meetings
  • Daily phone answering, message delivery, and in-person guest support
  • Invoice and check processing; credit card billing
  • Expense record keeping and provide monthly/quarterly/annual financial reports
  • Organize supply ordering and inventory, equipment purchasing and rentals
  • Management of incoming and outgoing mail
  • Coordinate artist relocation and studio/housing needs with Facilities Manager & Property Manager
  • Booking guest accommodations and transportation; build visitor schedules
  • Fellowship calendar management with Marketing Manager
  • Arrange catering/dining reservations for luncheons and receptions
  • Document monthly fellow and quarterly advisory committee meetings
  • Support distribution/collection of artist contracts
  • Maintain physical and digital record filing system

Qualifications

  • Bachelor’s degree
  • 3-5 years minimum administrative or operations experience
  • Passionate about the arts, community engagement, and living in Tulsa
  • Cultural competency; ability to support individuals with various identity and cultural backgrounds
  • Maintain strong positive relationships with vendors, organizational partners, program participants, and coworkers
  • Demonstrate proven work ethic and team orientated approach
  • Ability to problem solve, be adaptive, meet deadlines, and create effective organizational systems
  • Proficient in MS Office Suite
