Program Coordinator | Sitka Center for Art and Ecology (Otis, OR)

Located on the central Oregon coast at Cascade Head Ranch near the Salmon River estuary, the Sitka Center for Art and Ecology fosters creativity, intellectual inquiry and education. By helping others discover more about their core creative selves and their connections to nature, the Sitka Center works to fulfill its mission of expanding the relationships between art, nature and humanity. The Sitka Center offers a workshop program each season from May through September with more than 100 classes offered in art, writing, music and ecology. During fall and spring, the Sitka Center sponsors a residency program drawing artists, writers, musicians and natural scientists from all over the world.

Position Title: Program Coordinator
Position Status: regular, full time, exempt (40 hours per week) some evenings and weekends required
Supervisor: Program Manager
Salary Range: $29,000-$31,500 year with benefits (health stipend, paid vacation)

Overall Purpose Statement:
The Program Coordinator manages the daily operations, details and communications of the Workshop Program, Residency Program, and volunteers.

List of Duties or Task Performed:

•    Be an integral member of the Program Committee by researching and generating workshop and residency ideas, and assisting and participating in the residency and workshop review committees.
•    Work closely with Program Manager to schedule workshops and residents and update all necessary handbooks, contracts, community connections and processes.
•    Be responsible for entering all workshop and residency data in database and calendaring all workshop and residency details.
•    Be the primary contact for all instructors and residents and manage all communications including: arrival and departure, check-out procedures, application status, program updates, managing log-ins, sending handbooks, contracts, agreements, etc.
•    Act as liaison for all residents and instructors when they are here.
•    Gather resident information, i.e. biographies and images; gather and input workshop data, images and bios.
•    Assist the Program Manager in the resident welcome orientation and tour; ensure residents know how to handle emergencies when staff is off-site.
•    Respond to inquiries about the program.
•    Assist the Office Coordinator with workshop registration; provide general office support and customer service when no other staff is available.
•    Work with residents to coordinate Show and Tell presentations and help assist with presentations for all events.
•    Work closely with the Office Coordinator and Studio Technician to prepare and print all instructor workshop packets.  
•    Collaborate with Program Manger and Marketing Coordinator to help create and post program assets (print and digital) for workshop catalog, social media, newsletters, emails and print media.
•    Ensure that website content related to all programs is up to date, correct, and functional.
•    Assist the Program Manager in developing and implementing summer staff workshop training.
•    Work closely with the Studio Technician to run the daily operations of the workshops. Fill-in as Studio Tech when needed.
•    Maintain and update workshop binder.
•    Manage volunteer system to include identification of tasks for all programs and events, develop channels to recruit new volunteers and develop volunteer training.
•    Monitor the studios and houses to identify and communicate facilities needs including supplies and maintenance, and manage and communicate with housekeeper cleaning needs for all Sitka houses.
•    Assist the Program Manager with the development and execution of the Winds and Waves Recorder Workshop.
•    Collaborate with other staff members to choose and order merchandise for sale.
•    Take part in events and programs, i.e. Sitka Art Invitational, Mingle & Muse, Resident Show & Tell.
