POSITION TITLE: PROGRAMS MANAGER

EMPLOYMENT STATUS: Full-time, W-2 status, permanent, exempt, 40 Hours per week +/-

REPORTS TO: MANAGING DIRECTOR OF EXTERNAL AFFAIRS

ABOUT THIS POSITION: The primary function of this role is to oversee the implementation of ACA programs while fostering field-wide learning opportunities. Current ACA programs include: Equitable Capacity Workshops, Emerging Program Institute, #ResidenciesConnect, Field Conversations, and an annual ACA Conference. This person will work in collaboration with the Managing Director of External Affairs to develop new programs such as in-person regional convenings, digital initiatives, and a new resource library.

DUTIES AND RESPONSIBILITIES:

• Fosters field-wide exchange, so that know-how, information, and experience is shared through ACA’s programs.
• Manages the content on the organization’s knowledge and learning platforms.
• Develops plan and strategy in concert with Managing Director of External Affairs and the Programs team for asynchronous, live and virtual programming.
• Captures the experiential knowledge of field leaders and experts to grow the content management system.
• Manages the logistics, set-up, design, and implementation of programs capturing activities, including meetings, focus groups, and workshops.
• Source and identify key partners and collaborators for facilitated  workshops and programs.
• Serves as one of the primary facilitators/leaders of the workshop.
• Manage and guide partners, collaborators, participants to keep programs aligned to organizational mission, vision, values, and goals.
• Shepherd programs from ideation through execution.
• Collaborate with the External Affairs team to ideate new virtual programs on social media platforms.
• Supports the Managing Director in the cultivation of relationships with members, artists, and partners.
• Gather data and information to inform all External Affairs operations.
• Travels occasionally to serve as primary on-site representative for in-person programs (regional gatherings and annual conference).
• Learns and evaluates current program platforms, researches new innovative tools and platforms to enhance programs.
• Supervises and mentors Program Administrator, and monitors the internal capacity of the programs team.
• Distill, organize, and present key learnings from workshops to aid in informing organizational decisions and development of evaluation tools to be used in programming and resource library
• Support ACA member services + website (residency directory,  membership queries, programming information, website + tech support)  on a daily basis
• Other duties as assigned by the Managing Director EA

EDUCATION + EXPERIENCE REQUIREMENTS

• H.S. Diploma or G.E.D.
• Strong work tenure: 4-6 years of experience of non-profit administrative experience
• Experience working with an arts service organization preferred, but not required.
• Experience and interest in program/project management, event management, partnership development, and community learning
• Proficient in Microsoft Office, Zoom, Airtable, Google Suite

POSITION TITLE: Grantmaking Coordinator

ABOUT THIS POSITION: The primary function of this role is to support and administer ACA’s growing grantmaking programs. The Grantmaking Coordinator coordinates and provides support to the following consortia and grantmaking programs: McKnight Artist Residencies Consortium, Robert and Margaret MacColl Johnson Fellowship Fund, Pew Fellowships in the Arts, and 3Arts Residency Fellowships. This role will serve as the primary administrator overseeing the implementation of pilot projects such as the Howard Gilman + Mertz Gilmore Consortium Program.

DUTIES + RESPONSIBILITIES:

• Working in collaboration with the Managing Director of External Affairs and Grantmaking Manager, facilitate logistics and foster relationships to support ACA grantmaking programs and contracts as needed, including the residency fellowship consortia awarding residencies to select artists to participate at select ACA member programs, and cohort learning opportunities for Consortium members.
• Support program administration to create, monitor, and update program timelines, develop and maintain program documentation and manage the archive of past program cycles.
• Coordinate and schedule meetings with program partners, funders, and artists.
• Support and facilitate open office hours for artists to share information and guidance related to ACA grantmaking programs.
• Prepare correspondence, communications, meeting minutes, presentations, dashboards and agendas. Take and edit accurate meeting minutes; note what needs follow up and facilitate.
• Monitor program expenditures + coordinate with Operations team to ensure timely funds dispersal and accurate reporting of regranting and program expenditures.
• Organize and follow up on programs status updates internally and externally, and flag items of importance or concern.
• Collect program feedback and evaluate program status, discuss changes as needed.
• Support the development of trusted relationships with a variety of internal and external stakeholders
• Assist in the implementation of research projects and reports as needed to inform grantmaking and organizational efforts
• Gather data and information to inform all organizational operations.
• Distill, organize, and present key learnings from research to aid in informing organizational decisions and development of evaluation of grantmaking programs.
